Workflow Audit

Lots of people, lots of tools, unclear who owns what. We map how work really flows — and exactly where it gets stuck.

An engineering-grade audit of how work actually flows through your organization — the people, the data, the processes. We map the chaos, score it, and hand you a prioritized roadmap you can act on and automate.

01 — THE PROBLEM

The problem this solves.

As an organization grows, its processes rarely grow with it. Work that once happened in a hallway conversation now crosses five people, three tools, and two teams — and nobody redesigned it on purpose. It just accreted.

The symptoms are familiar: things fall through the cracks, the same data gets typed in three times, and nobody’s quite sure who owns what. Every new hire takes months to learn how work really gets done. It’s not that your people are doing a bad job — it’s that the process underneath them was never mapped, and no one has the full picture.

02 — WHAT YOU GET

What’s included.

01

Current-state workflow map

A clear visual of how work actually moves through your organization — every step, handoff, tool and decision — not how the org chart says it should.

02

Workflow Health Score + 10 scorecards

One headline score (0–100) plus a red/amber/green rating across ten dimensions, so leadership can see where the friction is at a glance.

03

Roles & ownership (RACI) matrix

Who's responsible, accountable, consulted and informed for each key process — with the gaps and overlaps made explicit.

04

Prioritized roadmap

Every finding sorted by impact vs. effort — quick wins first, structural changes second — with clear owners and estimated effort.

05

Automation candidates shortlist

The repetitive, rules-based work worth automating first — the natural bridge to a Workflow Automation engagement — flagged with expected time saved.

06

Findings walkthrough workshop

A working session where we present the map and roadmap to your team, align on priorities, and answer everything. Recorded for people who couldn't attend.

03 — HOW IT WORKS

How it works.

01

Kickoff & scoping (Week 0)

We agree the scope — which teams and processes are in — identify the people to talk to, and request access to the tools and documents you already have.

02

Interviews & observation (Week 1)

We talk to the people who actually do the work, across roles and teams, and watch how work moves in practice — not just how it's documented.

03

Tool & artifact audit (Weeks 1–2)

We map the systems, spreadsheets, channels and documents work passes through, and where data is re-entered, lost, or duplicated.

04

Analysis & mapping (Weeks 2–3)

A senior consultant assembles the current-state map, scores each dimension, and identifies bottlenecks, ownership gaps and automation candidates.

05

Roadmap & report (Week 3)

Scoring, prioritized roadmap, RACI matrix, and plain-language findings come together into the final deliverables.

06

Walkthrough workshop (Weeks 3–4)

We present, your team reacts and aligns, and the map and roadmap are yours regardless of what you do next.

One Workflow Health Score you can track and re-measure

You walk away with one shared picture of how work really flows, a Workflow Health Score you can re-measure, clear ownership for every key process, and a prioritized roadmap your team already agrees on. No obligation to hire us for the fixes.

05 — WHO IT’S FOR

Best fit if this sounds like you.

NGOs & foundations

Volunteers, part-timers, grant-funded roles and high turnover mean responsibilities blur and knowledge walks out the door. We give you a defensible map and a plan you can budget and staff against.

Growing SMBs

You've outgrown the informal 'everyone just knows' way of working, but nobody has stopped to redesign it. We find where growth is now costing you time, money, and dropped balls.

Multi-team organizations

Work that crosses departments is where things stall and blame travels. We map the handoffs between teams and make the invisible coordination cost visible.

08 — FAQ

Common questions.

What exactly is a Workflow Audit? +
A structured examination of how work actually flows through your organization — the people, the data, the tools, and the handoffs — condensed into one health score, a clear map, and a prioritized roadmap to fix the friction.
How is this different from a management consultant? +
We're engineers, not slide-makers. We don't hand you a strategy deck — we map the concrete mechanics of how work moves, down to which spreadsheet gets re-typed into which system, and we can build the automation that fixes it.
Will this disrupt my team's work? +
Minimally. It's mostly short interviews and observation, scheduled around your team. We're mapping the process, not grading anyone — and we make that clear to everyone we talk to.
Do you need access to our systems? +
Read-only or guided access helps us see the real data flows, but it isn't strictly required — much of the map comes from talking to the people who do the work. We never touch or change anything.
We're a small team. Is this overkill? +
No. Small, fast-growing teams often have the highest-impact quick wins, because the informal process that worked at five people quietly breaks at fifteen and nobody noticed.
Do we have to hire you to implement the changes? +
No. The roadmap specifies what to do and who can do it — your team, any implementer, or us. Some fixes are process changes you own; some are automations we can build. No lock-in by design.
Is the report available in Polish? +
Yes — reports and workshops are delivered in English or Polish, or both.
